Our client was a marketing agency owner who had a proven B2B outbound motion but growth was capped by human throughput. Every new increment of pipeline meant another rep, more tooling, and more management overhead. Manual prospect research, inconsistent CRM data entry, and eroding deliverability at higher volume meant reps were spending most of their time on busywork instead of selling. The constraint wasn't strategy. It was execution capacity.

Lumio partnered with them to re-architect their entire outbound motion as an AI revenue engine. The solution replaced manual research, list-building, and follow-up with four connected layers. Deliverability infrastructure, AI prospect intelligence, personalization at scale, and CRM automation working together as one system. AI handled execution end to end, while human strategist touch points and the conversations that mattered, allowing the sales team to focus exclusively on closing.

Locking the ICP and infrastructure


We started by mapping the client's ideal customer profile, messaging, and target data sources. Using this and other factors we decided email outreach is what's needed for this campaign. We then built the technical foundation before a single email went out including: setting up dedicated sending domains, warming 60 mailboxes, and enforcing SPF, DKIM, and DMARC authentication on every domain. This kept outreach completely isolated from the client's primary domain, protecting their core sender reputation while scaling volume.



Enriching and prioritizing the right accounts


Once infrastructure was live, the engine began enriching prospect records automatically, pulling firmographic data, verifying contacts, and scanning for buying signals like job postings and company changes to prioritize outreach toward accounts already showing intent. Over 48,000 prospect records were enriched this way, removing hours of manual research per rep, per week.



Personalizing and launching outreach


Every message was written using the live data collected in the previous step. Custom openers, company-specific references, and industry-relevant angles, replaced generic templates entirely. Campaigns went live in a phased rollout: foundational infrastructure and messaging in the first 30 days, full multi-touch sequences and the first booked meetings by day 60, and expanded volume on the best-performing segments by day 90.


Handling replies and booking meetings automatically


As responses came in, a virtual sales assistant took over the early-stage conversation qualifying intent, answering common questions, handling objections, and booking confirmed meetings directly onto the sales team's calendar. Reps were primarily looped in once a prospect was ready to talk, freeing them to spend their time exclusively on closing.
